Students holding a Student Visa must ensure that the University is informed of any changes to their circumstances that could affect their visa status and compliance with UK Visas and Immigration (UKVI) regulations.
Accurate records are essential for maintaining visa compliance and ensuring that students continue to meet their sponsorship requirements.
If you hold a Student Visa, you must promptly report any relevant changes to the appropriate department within the University. The following circumstances require notification.
Visa and immigration status

If you switch to a different visa category, you must provide evidence of your application and, once a decision is made, submit proof of your new visa status (such as an eVisa and decision letter) to the VISA Team so that University records can be updated. If you make an alternative application to UKVI, including as an asylum claim, please inform the VISA Team as soon as possible. This does not negatively impact you, but it is necessary for compliance with institutional processes and UKVI requirements that we are aware of any change to your immigration status.
Passport and immigration documents

Any loss, theft, or replacement of your passport must be reported to the VISA Team. If your passport has been sent to UKVI for any reason (for example, part of a visa application), you must inform the VISA Team. If you notice any issues with your eVisa, changes to its details, or errors on your eVisa, you must report them to the VISA Team as soon as possible. If you misplace any immigration document, such as a physical visa if you have one, you must notify the VISA Team.

If you update any details with UKVI, you must also share this information with the VISA Team. If you are contacted by UKVI or the Home Office, you must discuss this with the VISA Team. If you change any personal or contact details, including your term-time address, email, telephone number, or home country contact information, you must update your student record via the Student Portal. If this is not possible, you should contact Student Records for assistance.
Attendance

If you are unable to attend classes due to illness or other reasons, you should inform your programme staff to ensure compliance with visa and attendance requirements.
Study plans and course structure

If you wish to make changes to your study plans, such as adding or removing a placement, you should contact your programme staff in the first instance and also discuss with the VISA Team. If you plan to take a break from your studies, you should inform your programme staff in the first instance, and also discuss it with the VISA Team. If you are expected to have an extended period of non-engagement (over 60 days) for example due to course structure or resit timeframes, you must inform the VISA Team.
Informing the UKVI of changes

You must ensure certain information is updated on your UKVI Account.
Update your details in your UKVI account You should keep your personal details and passport or travel document information up to date so that:
You update your details in your UKVI account. If your UKVI account is not up to date you might experience delays when you travel or when waiting for a visa decision.
What you need to update You should update your UKVI account if you change your:
passport or travel document name mobile phone number email address home address postal address You cannot change your name or your passport or travel document if you’re waiting for a visa application decision.
You can also:
correct your date of birth add or change a nationality, for example if you have dual nationality add another passport or travel document change your photo, for example if your appearance has changed and you cannot be recognised from your current photo. If you change your photo, you must make sure it meets the rules for digital photos . Your photo will be rejected if it does not meet the rules.
Please also ensure you notify the VISA Team if any corrections are made so we can ensure our records are up to date.
Update your details You’ll need the details you use to sign in to your UKVI account. This could be your:
passport national identity card biometric residence card (BRC) - this can be valid or expired expired biometric residence permit (BRP) UKVI customer number You’ll also need access to the mobile phone number or email address you use to sign in to your UKVI account. If you’re updating your name, date of birth or nationality then you’ll need an identity document that proves that it has changed.
