GenAI tools at GCU
This page helps University colleagues and students choose an appropriate GenAI tool for a particular task. Availability, licences, account configuration, School approval and course rules may vary. For students, always check your course specific guidance and use the service and data-handling route authorised for your situation.
Safe use applies to every tool
Keep a human in the loop: GenAI can be inaccurate, biased, incomplete or misleading, so check factual claims, dates, calculations, code, quotations, citations and source context before you use, share or act on an output. Treat generated material as a draft or a lead, not as authoritative advice or a substitute for academic, professional, ethical or research judgement.
Use only information you are entitled and authorised to share. Do not assume a service is approved for every data classification: protect confidentiality, personal and special-category data, identifiable staff/student/patient/clinical or research-participant data, embargoed material, and third-party copyrighted content. Follow applicable data-protection, ethics, licence, consent, retention and University policies. Check the account and service settings before uploading material.
Maintain academic integrity. Course and assessment rules determine whether GenAI use is permitted. Do not present generated text, code, reasoning, images or other output as your own work. Acknowledge permitted use where required, read and verify any sources yourself, and retain proportionate prompt/output provenance where publication, funder, publisher or local rules require it.

Edinburgh University ELM
You need a University-supported, general-purpose assistant for permitted teaching, research-support, drafting or planning work.
Preferred institutional route for University-data work, but it is not a blanket approval for sensitive data; review outputs and follow ELM’s specific data boundary.
Google Gemini
The task uses personally owned material and you want embedded drafting, summarisation, spreadsheets, slides or meeting support.
Permissions and controls apply, but licences, features and retention are configurable.
Google NotebookLM
You need to interrogate and learn from a bounded, selected source set with citations back to the included material.
Validate citations and source coverage; account type and upload permissions matter, especially for confidential or sensitive material.
Microsoft Copilot Chat
You want a protected University chat for public-web orientation, rewriting, or explicitly supplied permitted material.
It is mainly web-grounded rather than a universal Microsoft 365 knowledge search, and web queries have a separate boundary.
