Help and guidance

Registration can be quite a tricky process, especially for students who have not registered with GCU before. To help make this as easy as possible we have a number of instructional videos to help guide students through each stage of registration. We also have other helpful advice as well as our FAQ section for students to refer to for help with common registration issues.

We have a dedicated registration team you can contact if the online guidance and help does not resolve your issue. Between the 9th and 19th of September 2019 you can come and speak to the team during the on campus registration period. During this period the team are based in the Centre for Executive Education (CEE)

Fees

During registration you will be asked to complete a fees section so that we know who will be paying for your course.  Guidance is available both at the top of the registration screen and in our registration FAQs.

You will always see the full fee for the course.  This can sometimes cause confusion, for example if you have already paid for your course but need to re-register for the next academic session.  We advise all students to continue with their registration confirming the full amount.  Our finance department review records after registration to make any required changes if payments have already been made or scholarships awarded.

Funding

There are many different funding options available for students who are studying with GCU. If you need any help or guidance on applying and securing your funding, our Funding team will be able to offer you this support. They can also give you advice on other areas and help you manage your money during your studies.    

IT and Log In Issues

If you experience technical issues during registration that cannot be resolved by using the registration FAQs, you should contact us to investigate. Ensure that you provide a full explanation of your problem and your student ID so that we can access your record.  It may take us a few days to get back to you during our busier periods.

FAQs

Below are some common questions and answers which should help with any queries you have. 

I haven’t received my registration instructions yet, what should I do?

We send registration instructions in stages.  If you don't receive them 2 weeks before the start of your course email us or go to the Campus Life desk in the George Moore building, Level 1.

Make sure you give your full name, date of birth and your programme. 

My password isn't working

If you are a returning student, you can reset your password. This also applies to previous GCU students who are now starting a new course.

If you are a new student, email us if you are having issues logging in.

I'm receiving an error message during registration, what do I do?

If you are receiving an error message, first try the following steps:

  • If you are using a mobile device, try again using a laptop or desktop computer.  If you don't have access to one, you can go along to the Campus Life desk in the George Moore building, Level 1 or Library - located in the Saltire Centre
  • Try using an alternative internet browser (Chrome, Firefox)
  • Check our Facebook page to see if there are any reported issues that may be affecting registration

If you are still experiencing issues, send us an email detailing the issues you are having. To help us resolve quickly, include your student ID and a screenshot of the error message you are receiving.

I'm a continuing student but there is nothing for me to register on

Try the "Click here to register as a new student" link to see if your programme is there. If so please proceed with your registration.  

If it isn’t, email us at registration@gcu.ac.uk and we’ll look at your record. Ensure to include your full name, course and student ID or username.

Was my registration successful?

If you are unsure if your registration was successful, you can log into the student portal and check under the my registered courses section. 

My details are wrong on my student record

Email us to let us know attaching appropriate identification showing the correct information.  Alternatively, go to the Campus Life desk on the first floor of the George Moore building with your student ID and document(s) and we will change your details.

If you nationality is incorrect, contact the Admissions team who will update this for you. 

For students who are in the process or wish to transition: We recommend you contact our Wellbeing Adviser for guidance and support. The university has a Trans Student Support Policy, and our Wellbeing Advisor will help you make any changes including if you wish to change your personal details on your student record.

Acceptable forms of ID: marriage certificate, divorce papers, passport, birth certificate or driving licence.

My registration is blocked as I have outstanding debts, what should I do?

You need to pay the debt in full before you can register. Contact the Finance office on +44 141 331 8195 or email for help. You can find further information on our debts to the university and how to pay your tuition fees

What option do I select under fees? Are my fees correct?
  • SAAS/SLC funded students: You will see the full fee amount. Select SAAS or SLC will pay fees and enter your SAAS or SSN reference number.  Enter the amount you are being funded. If you have not yet received your award notice from SAAS/SLC, enter the full fee amount.
  • Fees incorrect:  Continue with your registration. If you have already paid, paid a deposit or been awarded a scholarship, finance will re-calculate after you have registered. If you are still unsure or have any further queries, contact Finance
  • Sponsorship students:  Select ‘Add a Payer’.  You can enter more than one sponsor if applicable. Enter the agreed amount/percentage for each sponsor and confirm. Any remaining fees will be portioned to you. If you do not have a purchase order number, enter all other details and select proceed.
  • Fees show as £0.01: Continue with registration. This means that Finance have a special arrangement in place for invoicing. Select ‘I will pay all fees myself’.
  • INTO/Exchange students: Select ‘I will pay all fees myself’. Finance will update your record after registration.
  • GCU Scholarship/stipend: If you are a research student or member of GCU staff in receipt of a scholarship and/or stipend, select My Sponsor/Employer and enter 'GCU Funded'.  You don't need to enter a PO number.  
What do I need to do for my SAAS/SLC payments to be released?
  • New students need to have their award letter scanned during on campus registration. You will receive full details on this in your registration instruction email. 
  • This also applies to continuing students if it is the first year you have applied for funding. 
  • If you apply for funding at a later date, take your award notice to the Campus Life desk to be scanned. 
  • Payments will be released within three working days, but not before your allocated payment date.
  • If you do not have a copy of your letter, we can scan from your phone
  • Continuing students who have previously had a letter scanned, payments will be released automatically. We do not need to see your new award letter.

Please note: If you use different details to apply for funding that do not match what we hold on your GCU record, this could cause a delay in you receiving your funding. Ensure that your personal details are the same with both GCU and your funding body to minimise issues.

When will I receive my student ID card?

You will receive details about receiving your student card on your registration instructions. Further information can be found under student ID cards.

I can't access GCULearn

GCULearn access is setup 24-48 hours after you complete your online registration. To log into GCULearn use your username and password on your registration instructions. 

If you are a continuing student having issues logging in, try resetting your password. If you still can't log in, contact the IT Helpdesk for assistance.
