Registration


I haven’t received my joining instructions yet, what should I do?

If you haven’t received your username and password by end of August, come and see us in M201, George Moore Building (29 August-15 September 2011) or email registration@gcu.ac.uk. If you start at another time of year, come to the Academic Registry desk on Level 0 of the Saltire Centre.

I can't register online because I don't have Internet access from home. What do I do?

You can come to the Academic Registry desk on campus and staff there will be happy to help you with your online registration.

My Student Zone password isn't working.

You need to use your university domain/network password to login to Student Zone. This is the password you use for PCs on campus and also for Email and GCULearn. If you are a new student you would have received it by post or email. It is case sensitive so make sure you enter it carefully.

If it does not allow access or you don't know your domain password please follow the steps below to reset it:

  1. Log into My Caledonian. If you are a new student, use the password we sent you.
  2. You will see a line of tabs across the top of the page. Click the Password Reset tab.
  3. Select the Domain/Network/E-Mail/Blackboard tick box and hit Submit.
  4. Click here to reveal password' will show your new password. Write it down carefully. It is case sensitive. It will take approximately 2 minutes for the new password to become active.

Use this new domain password to login to register. Please contact registration@gcu.ac.uk if problems persist.

I’m receiving a ‘Content was blocked because it was not signed by a valid security certificate’ message, what should I do?

If you click to accept blocked content you should be able to proceed with your registration.

My registration is blocked as I have outstanding debts, what should I do?

You need to pay the debt in full before you can register. Contact the Finance Office on 0141 331 8195 or email arstudent@gcu.ac.uk for help.   You can find further information on our Debts to the University and How to Pay Your Tuition Fees pages.

I'm a continuing student but there is nothing for me to register on

If you studied here last year, sometimes we need to update your record to make registration available.  In these cases you’ll need to register through the new student link. 

Check the "Click here to register as a new student link" to see if your programme is there. If so please proceed with your registration.  

If it isn’t, please email us at registration@gcu.ac.uk and we’ll look at your record.  Please give us your full name, course and student ID number or username. 

If you're returning from time-out please confirm with your Programme Administrator that they've informed Student Records of your return to study. Once they do it make take us a few days to update your record to let you register.

My name or date of birth is wrong on my student record

Email studentrecords@gcu.ac.uk to let us know. You'll need to attach scanned copies of the documents listed below. Make sure you include a note of your matriculation number, name and the details that are wrong. Alternatively go to the Academic Registry desk and we will change your details.

You'll need to bring the documents and your matriculation card. Or you can or fax copies to 0141 331 3449 or post them to us.

If you change your name, please provide your marriage certificate, divorce papers, passport, birth certificate or driving licence showing your new name.

If we have your date of birth wrong, please provide your birth certificate, passport or driving licence.

My gender is wrong on my student record

Email studentrecords@gcu.ac.uk to let us know. Make sure you include a note of your name, matriculation number and the details that are wrong. Alternatively, go to the Academic Registry desk and we will change your details. You'll need to bring your matriculation card with you.

My nationality is wrong, what should I do?

If your nationality is incorrect please contact the appropriate Admissions Office, with proof of your nationality. For Undergraduate programmes please email undergraduate@gcu.ac.uk for Postgraduate programme please email postgraduate@gcu.ac.uk.  You can continue to complete registration.

I can't find my job title in Other Details, what should I do?

Please be broad in your job classification and find the option that matches as close as possible.

I've applied for SAAS funding but haven't received confirmation yet. What should I select in Fee Payment Details?

If you've already applied for SAAS funding please select My sponsor, SAAS or SLC will pay all or part of my fees then SAAS will pay some/all of my fees. Please enter your SAAS Reference Number/Student Support Number if you know it and the Amount Paid. If you haven't received confirmation of fees yet please enter full course fee.

I'm receiving SAAS funding but am going on placement. How do I get my letter scanned?

As long as you’ve confirmed your placement to SAAS you don’t need to bring your SAAS letter along for scanning.

I’m receiving SAAS or SLC funding, what should I do with my award letter?

  • If you received a Student Loan for your course at GCU in 2010/11 , you do not need to bring your award letter or Student Loans Company payment schedule letter to us to be scanned.
  • If we have your details from scanning your letter for payment last year and have a valid registration for 2011/12, we will confirm your attendance to the Student Loans Company when you start back.
  • Loan installments are made directly into your bank account on the date in your payment schedule letter.
  • If you did not receive a loan last year, but will this year, you must bring your matriculation card and award letter or SLC Payment Schedule Letter to the Academic Registry desk to be scanned.
  • If you need to get your letter scanned, your loan installment will be paid directly into your bank account normally 3 working days after your letter is scanned, but no earlier than the date in your payment schedule letter.

 

My fees are incorrect

The fee on your registration page is for the full programme.  If you are a part-time student the fee shown is an average for your course. Your fee may be different depending on how many modules you take. Our Finance Office will calculate your fee after you have registered.

If you’re an International student and have received a scholarship or other reduction, this will not be reflected in your registration fees.  For more information on please see our International Tuition Fees page.

My fees are £0.01. Is this correct?

Some programmes are funded differently and will not be charged any fees. You should select 'I am exempt from paying fees' if given this fee.

I'm receiving a Part-Time Fee Grant or ILA funding, how do I enter this in the Fee Payment Details stage?

If you've already applied for funding please select My sponsor, SAAS or SLC will pay all or part of my fees then [+] Add a Payer then Sponsor is paying all or part of my fees. Please enter your £200 or £500 funding into the Amount Paid and enter 'PT Fee Grant SAAS' or 'ILA' in the Sponsor Name Search.

I've already paid my fees, what should I enter?

You should enter how your fees were paid. After you've completed your registration the Finance Office will amend your record accordingly.

My fees are being paid by 2 different sponsors, how should I enter this?

You would enter your first sponsor details with the agreed amount or percentage. You'll then need to [+] Add a Payer again and enter the second sponsors details. If this doesn't make up 100% of your fees the rest will be portioned to you.

I don't have a Sponsor Purchase Order Number, what should I do?

If you don't have a Sponsor Purchase Order Number please enter all other sponsorship details and proceed. 

My fees are being paid by a family member, what should I enter?

You should enter I will pay all fees myself for all courses.

What do I do if I receive funding for my course fees at a later date?

If you receive a SAAS/SLC schedule letter please bring it to the Academic Registry desk.   Also send a copy of your award letter to the Finance Office.

If you are sponsored by your employer, foreign government, or other company please send a copy of this confirmation to Finance Office

What do I do if my sponsor has changed since last year?

Enter your new sponsor details in the fees section. Select 'My sponsor will pay my fees' then 'Save Fees Information'. The sponsor screen will appear. Enter the new details.

The Finance Office will write to your new sponsor to confirm invoicing details. You should send a copy of sponsorship confirmation to our Finance Office.  

I am a member of staff. Who will pay my fees?

Members of staff who are registered to do research are exempt from fees. 

If your school or department have confirmed that they will pay your Tuition Fees, select My Sponsor/Employer will pay some/all of my fees then enter Glasgow Caledonian University as your sponsor.

I’m an Inward Exchange Student. What should I enter in Fee Payment Details?

You should select I am exempt from paying fees for all courses.

I’m am studying on an INTO course. What should I enter in Fee Payment Details?

You should select I am exempt from paying fees for all courses.

What is the photograph for?

We put your photograph on your student record. It will also appear on your matriculation card (your student identity card). It is important that we receive it as early as possible. Find out about how you can send the photograph to us.

When will I receive my matriculation card?

If you are starting in September, you can collect your matriculation card from M201 between 29 August and 15 September 2011, 9-6 Monday to Thursday, 9-4 Friday. At other times of the year, come to the Academic Registry desk.

If you are a distance learning or part-time student your joining instructions will confirm if your card will be posted.  If you have provided a photograph and registered, but don't receive it within 2 weeks of the start of term, email registration@gcu.ac.uk.

I can't access GCULearn

You won't be able to access any university systems until you've completed your registration. After completion it can take a few more days for your account to be created.
